Great Western Exotics, based in Swindon, is an exotic animal first opinion and referral hospital that treats Avian, Small Mammal, Reptile and multiple zoological cases.

We are looking for a Practice Manager to plan, lead and coordinate the day to day running of the hospital ensuring the service operates smoothly and efficiently. You will work to provide effective non-clinical leadership for the hospital team, leading by example and supporting the Senior Clinical Team to ensure the clinical culture and the Vets Now Values are embedded and promoted continuously. Managing the Senior Clinical Team and all reception/administrative staff will also fall under the Practice Manager responsibilities.

Main responsibilities

  • Provide effective leadership, ensuring all staff are committed to achieving both the clinical and financial outcome of the business and understand their role in realising this
  • Ensure operational efficiencies are achieved within the 24/7 environment and that everyone works as one team
  • Responsible for meeting the overall operational, budgetary and financial targets of the site
  • Be proactive in spotting opportunities to drive profit (or financial growth and efficiency, and reduce operating costs across the referral service
  • With the Senior Clinical Team, work to optimise the commercial performance of the Hospital whilst facilitating the ability of the team to deliver clinical excellence across the board
  • Anticipate staffing requirements and proactively recruit appropriate personnel
  • Provide effective performance feedback through employee recognition, PDP’s, rewards and (where appropriate) disciplinary action
  • Provide regular feedback to the Hospital Management team on all aspects of Referral service KPIs including the identification of problem areas and potential opportunities for improvement, proactively seeking new sources of business
  • Ensure Our Values are recognised and lived daily by our staff and are demonstrated in our behaviour and interaction with colleagues and clients
  • To work in conjunction with the Senior Clinical Team to maintain and build on local relations with referring and partner practices
  • Oversee the general upkeep and maintenance of the building including project managing, supervising and coordinating work with contractors
  • Working with the Central Facilities manager, negotiate the best deals with contractors and suppliers to ensure we always get the best value for money for both purchased and leased goods
  • Ensure the building and equipment meets health and safety requirements and our facilities comply with legislation, arranging maintenance and testing whenever necessary
  • Working with the Central Facilities Manager, arranging the servicing of all equipment and ensuring all service records are kept up to date
  • Managing purchase orders and invoices for non-clinical items
  • Managing goods received invoices for all items
  • Collate and manage debts both aged and insurance related and ensure the reasonable recovery of funds using set debt procedures
  • Complete and manage insurance documentation, ensuring claims are processed within agreed timescales
  • Responsible for auditing time and attendance data entry and auditing of HR files to ensure all relevant information has been captured, including operation of time keeping systems

Skills and experience required

  • Experience of working in a junior/middle management role within a commercial environment
  • Line management experience
  • P&L management/control
  • Excellent spoken and written communication skills
  • Strong people management skills with the ability to engage and motivate a team
  • Excellent negotiating and influencing skills
  • Highly effective organisational skills and attention to detail
  • Commitment to working as part of an effective team
  • Proven track record of building and maintaining external relationships with customers and raising the business profile
  • Ability to work accurately under own direction and manage a wide and varied workload
  • Computer literacy with excellent knowledge of MS Office packages
  • Able to develop good working relationships with a wide range of internal and external stakeholders
  • Highly motivated with the ability to work as part of a team but also to work independently
  • Commitment to professional and ethical standards
